Karbon, a leading practice management solution provider, announced a new integration with the popular accounting platform Xero on May 8, 2025. The integration aims to enhance efficiency for accounting firms by synchronizing client contact data seamlessly between the two systems. This development is expected to significantly reduce manual data entry, minimize errors, and ensure that client information remains consistent and readily accessible for teams using either platform.
Automatic client data synchronization
The integration automatically synchronizes client contacts from Xero into Karbon. This purpose of this feature is to help minimize manual data entry and reduce potential errors, streamlining client data management processes.
Creating contacts from Xero or Karbon
While data automatically flows from Xero to Karbon, syncing from Karbon to Xero is manual. Within Karbon, users can selectively push information to Xero by choosing “Create Xero Contact” and syncing fields such as:
- Name
- Billing email
- Phone number
- Billing address
This gives firms complete control over the information sent to Xero.
Matching feature for cleaner data
Karbon utilizes a matching engine to verify client contact details using name and billing email. Contacts are categorized as follows:
- Full match – Both the name and billing email match exactly, enabling immediate two-way sync.
- Conflict – Only one data field matches, requiring manual resolution via Karbon’s "Match Issues" dashboard.
- No match – Neither data point matches existing records, prompting Karbon to create a new contact automatically.
This approach assists firms in maintaining accurate, organized, and duplicate-free client records.
Easily resolve conflicts
For partial matches or conflicts, Karbon provides a "Resolve Match Issues" dashboard, where administrators can:
- Confirm and approve contacts for syncing
- Reject partial matches and create new contacts
- Quickly unlink previously synced contacts if needed
- Controlled sync from Karbon to Xero
Practical ways firms benefit
Karbon highlights several scenarios where the integration adds immediate value:
- Efficient client onboarding – Adding a new client in Xero automatically creates the contact in Karbon, ready for assignment and engagement management.
- Always up-to-date – Changes in client information, like billing addresses, automatically update in Karbon, ensuring data stays fresh.
- Resolving data conflicts – Name changes due to life events prompt a review, allowing firms to standardize contact details easily.
- Centralized client data – Karbon acts as the hub for client communication, task management, and engagement tracking, while Xero manages financial records.
This two-way contact sync is the first release of a comprehensive Karbon and Xero integration that includes invoice and payment sync, coming in phases over the next few months. Learn more about this integration by visiting Karbon’s official integration page.
