Editor's note: This article is part of a series you can see here: 5 Ways We Use AI Series
It’s incredible how often AI has become our go-to sidekick – right when we hit a mental roadblock, need clarity fast, or simply want to skip the “Google rabbit hole” routine. Last week, our team leaned on ChatGPT in several efficient (and surprisingly time-saving) ways. From legal compliance to alarm clock replacements, AI helped us cut through the noise and get things done faster, with fewer headaches and a few “aha” moments as we worked.
Here are five ways we put AI to work – real problems, real productivity boosts.
Spreadsheet-ready scaled choices – skip the research
Type: Creating internal rating scales for operational assessments (From CEO and article author)
Example: Our CEO needed to build concise 1–6 rating scales for six company attributes. These had to be short (just 12–15 words each), consistent in tone, and formatted row-by-row for use as dropdowns in a spreadsheet. Typically, this would mean hours of researching, writing, editing, and matching formatting across all six.
Result & Reflection: In one session, AI delivered six polished scales (for things like Cybersecurity and Contract Strength), all professionally written and aligned in tone and clarity. Even better? It accepted a UX (User Experience) suggestion. The user noted that it would save time and processing power for users and OpenAI if “Enter” did NOT begin the processing, but if it would wait for the user to push the “Go button.” ChatGPT submitted the suggestion. (Nice to be “heard!)
Estimated Time Saved: 3.5 to 4 hours
“Click-to-cancel” compliance – without a headache
Type: Streamlining compliance with new FTC “Click-to-Cancel” rules using Stripe and Kajabi (From: Level 2 ProAdvisor)
Example: One of our Level 2 ProAdvisors ensured our subscription-based services complied with the FTC’s new “Click-to-Cancel” rule. The challenge? Stripe and Kajabi don’t exactly have a “how-to” guide for legal compliance.
Result & Reflection: Using ChatGPT, we got a step-by-step game plan: Enable Stripe’s Customer Portal, embed the cancellation link in Kajabi, and walk users through a frictionless, legally sound cancellation experience. No coding. No complex integrations. Just a professional setup that keeps us compliant.
Estimated Time Saved: 8–10 hours
Big pointer, large cursor, bright color, fewer clicks
Type: Fixing pointer and cursor visibility and accessibility settings in Windows 11 (From CEO and article author)
Example: Our CEO wanted a high-visibility pointer and cursor that didn’t disappear while navigating within two large monitors and multiple software programs. And navigating Windows 11 settings can be like walking through a maze blindfolded.
Result & Reflection: With AI’s guidance, the pointer and cursor are now bright, bold, and they behave exactly as desired and expected. The prompt helped cut through confusing overlaps in Windows’ accessibility settings, saving time and preventing a lot of unnecessary trial-and-error.
Estimated Time Saved: 45–60 minutes
Kindle compatibility – cleared up in seconds
Type: Researching whether a Kindle device is required for Kindle eBooks. (From: Level 2 ProAdvisor)
Example: Our CEO just published a new Kindle ebook. Our Level 2 ProAdvisor wanted to know if buying a Kindle book meant you also needed a Kindle device, or if reading on a desktop was an option.
Result & Reflection: In seconds, ChatGPT confirmed: No physical Kindle needed. You can read Kindle books on the Cloud Reader, Kindle App for desktop and mobile, or via a browser. It saved time digging through Amazon’s help docs and made communicating this clearly to our clients who wanted to purchase the book easier.
Estimated Time Saved: 15–20 minutes
Alarm clock crisis averted
Type: Finding a reliable Windows 11 desktop alarm clock replacement (From: COO)
Example: Our COO’s trusty alarm clock app (Cool Timer Deluxe) had started skipping alarms. Replacements tried in the past hadn’t cut it. This time, ChatGPT helped evaluate several options based on real priorities: multiple alarms, separate instances, countdowns, no ads, and reliability.
Result & Reflection: AI suggested several alternatives, including Free Alarm Clock, which met the top need (an alarm that actually goes off!). It also listed pros and cons for each option, even without being asked. While not every app hit every criteria, the shortlist helped to quickly zero in on what to try.
Estimated Time Saved: 2 hours
Wrap up: what we’re learning
Every week, we’re finding new ways to treat AI like a coworker – one who’s great at research, knows software quirks, and doesn’t mind formatting dropdowns or parsing legalese. These five examples remind us that the best use cases are often the ones we didn’t plan for.
If something feels frustrating or slow, there’s a good chance AI can help. So go ahead and ask it about compliance, spreadsheets, accessibility, or alarm clocks. You might just save a few (or many) hours and a few headaches along the way.
